After School Program Guidelines, Policies, and Responsibilities

Welcome to the CTX Martial Arts After-School Martial Arts Program! Our mission is to provide a safe, structured, and engaging environment where every student can grow in confidence, discipline, and leadership through the art of martial arts. This handbook outlines the policies, responsibilities, and expectations that ensure a positive experience for all participants. By working together—students, parents, and instructors—we create a community where respect, safety, and personal growth are at the heart of everything we do.
I. Health and Well-Being
At CTX Martial Arts, the health and well-being of our students, staff, and families always come first. Together, we maintain a safe, clean, and respectful environment where every child can learn, grow, and thrive.
II. Communicable Illness Precautions
Even when health risks are low, we follow simple habits to protect our community:
- Stay Home if Unwell: If you or your child feel sick or show symptoms, please stay home.
- Good Hygiene: Wash hands often, use sanitizer when needed, and avoid touching your face.
- Cough/Sneeze Etiquette: Use a tissue or your elbow, then wash your hands.
- Face Coverings: Optional—wear one if it makes you more comfortable.
- Notify Us: If you suspect exposure to illness, let us know promptly so we can act quickly.
III. Hygiene Policy
Please help your child arrive ready for class:
- Clean hands and face
- Brushed teeth
- Fresh clothing and deodorant (if age-appropriate)
- Trimmed nails for safety
IV. Allergy Policy
We are a peanut-free facility. If your child has any allergy, inform us immediately and provide necessary medications with clear instructions. We do not serve meals; students may bring their own snack if they wish.
V. Illness and Medication
If your child is sick, please keep them home. If medication is needed during program hours, provide it in a labeled container with written instructions. In an emergency, we will contact you immediately.
VI. Physical Condition
Students must be in good physical condition and free from any injury or condition that would limit safe participation.
VII. Medical Assistance
In case of injury, you authorize us to seek appropriate medical care from qualified professionals or emergency services.
VIII. Personal Electronic Devices
Students may bring personal electronics, but they are responsible for them. CTX Martial Arts is not liable for loss or damage. Devices may only be used after all activities are complete while waiting for pick-up.
IX. Sparring
Sparring is part of our training. Students must have complete protective gear and will spar under light-contact, supervised conditions. Groups are formed primarily by age, gender, and rank. Required gear includes: headgear, face shield, gloves, foot protection, chest protection, mouthpiece, and for males, an athletic supporter and cup.
X. Requirements, Policies, and Procedures
- All After-School Martial Arts Program activities are expected unless a doctor’s note excuses participation. More than three unexcused non-participations may lead to removal from the program.
- Uniform policy: Students must wear their uniform daily. The CTX T-shirt is mandatory. Replacement T-shirts are $25.
- Label all belongings clearly.
- Fees: Two weeks’ tuition must be paid in advance; billing runs automatically one week before the current two weeks expire.
- Sparring gear for Friday must be brought on Thursday when picked up. Storage is available for $35/month.
- Socks are required daily.
- Headphones are recommended for the optional quiet period. Please bring a pair that can safely be kept in the backpack.
- Electronics are only allowed after activities while waiting for pick-up.
- Program Hours: From school dismissal until 6:00 PM, within a structured schedule focused on martial arts and leadership. Parents should arrange pick-up by 6:00 PM. After 6:00 PM, a late pick-up fee of $15 per 30 minutes applies.
- Respectful behavior toward staff, instructors, peers, and the dojo is expected at all times. Bullying or harassment is not tolerated.
XI. Student Responsibilities
- Arrive prepared with clean uniform and required items.
- No jewelry during class.
- Bring all required gear and T-shirts as specified.
- Treat everyone with respect and courtesy.
- No backtalk or disrespect to higher ranks or staff.
- Be honest in all interactions.
- Show a desire to learn and improve.
- Lead by example and take pride in representing the dojo.
- Display good sportsmanship.
- Maintain a positive attitude and eagerness to learn.
- Represent yourself, your family, and CTX Martial Arts with dignity and honor.
XII. Parent/Guardian Responsibilities
- Drop-Off and Pick-Up: For those not using our transportation service, drop off after school dismissal.
- Sign-Out: Sign out your child daily at the front office.
- Timely Communication: Keep us informed of concerns or absences.

- Supportive Role: Engage with your child’s progress.
- Respect the Learning Environment: Parents and guests may not enter training areas during classes.
- Avoid Interruption: Do not interrupt classes; provide feedback outside training time.
- Late Pick-Up: Pick up by 6:00 PM. After 6:00 PM, a late pick-up fee of applies.
- Stay Connected: Follow our social media for updates.
XIII. Student Conduct and Discipline
- Show respect to instructors, peers, and staff.
- Listen actively and follow directions.
- No bullying in any form.
- Use appropriate language and behavior.
- Wear the appropriate uniform and gear.
- Maintain regular and on-time attendance.
- Do not use martial arts techniques outside the dojo except in self-defense.
- No drug or alcohol use.
- Take care of dojo property and report damages.
- Seek staff help to resolve conflicts.
XIV. Attendance Policy
Regular attendance is essential for progress. We understand certain situations may cause absences; please follow these guidelines.
XV. Absence Reporting
- Up to three absences per month allowed. Additional absences require a written note from a parent or guardian.
- Acceptable reasons include illness, medical appointments, contagious diseases, funerals, court orders, disability-related services, religious observances, or family vacation (max five excused absences per program year).
XVI. Withdrawal Policy
- Five consecutive days absent is considered withdrawal. Spot may be offered to another student; re-enrollment is based on availability.
- One documented five-day absence is allowed per instructional year; must be pre-approved and signed by the custodial parent/guardian.
XVII. Attendance Verification
- Parents/guardians may be asked to verify attendance records monthly.

- Program ends at 6:00 PM. After 6:00 PM, a late pick-up fee of $15 per 30 minutes applies.
